How to archive unused segments safely?
Before archiving any segment, audit its dependencies. Check whether the segment triggers automations, feeds reports, or is referenced by other segments. Deleting a segment that active workflows depend on breaks those workflows silently.
Export the segment definition and membership before archiving. Store the criteria logic, last known member count, and creation date in a document or spreadsheet. If someone needs to recreate it later, they have the blueprint.
Mark segments for archival by renaming with a prefix like ARCHIVE_ or DEPRECATED_ before deletion. This creates a grace period where the segment still exists but is clearly flagged as inactive. After a waiting period, typically 30 to 90 days, delete permanently.
Some ESPs support segment deactivation rather than deletion. This stops recalculation and removes the segment from active lists without erasing its definition. Use this when the segment might be needed again.
Schedule quarterly reviews to identify segments that haven't been used in campaigns or automations. Unused segments consume system resources and clutter the interface.
Retired ships should be dry docked properly, not scuttled without inspection. Someone might need the parts later.
